Documents and records are the product of thought, activity, and valuable experiences that play an important role in the advancement of organizational goals and are considered one of the important management tools in preparing programs and making decisions. Some documents contain information, the disclosure of which inflicts irreparable damage to national interests, the country, or the organization's pillars. For this reason, the optimal maintenance and utilization of documents and records requires the establishment of a correct and fundamental system in document protection and its precise implementation by employees. Unauthorized disclosure of documents has several reasons, the most important of which are negligence and lack of awareness of protection principles (a set of precautionary measures that are predicted to prevent the exit and access of unauthorized factors to classified information and documents), and severe penalties are also provided for the publication and disclosure of classified documents in the law.
The Classified Documents and Records Protection Unit is one of the security pillars, whose duty is to protect confidential university documents and records, and one of the important tasks of this unit is to design and implement a comprehensive information security system.
Job Description:
- Classifying documents and records based on the degree of importance and sensitivity with the opinion of the document preparer
- Creating a regular thematic and personnel archive and determining how to maintain and protect documents
- Planning and providing the necessary conditions in the field of classified document protection affairs
- Establishing a suitable system for the security and protection of confidential documents, question banks, etc.
- Preparing and arranging, duplicating, and copying classified letters, instructions with the opinion of the direct supervisor
- Taking necessary measures to prevent unauthorized disclosure of negotiations and minutes
- Preparing and arranging a reliable archiving system, sending correspondence, and document circulation
- Receiving confidential documents and records received from various organizations and protecting them based on relevant regulations
